Western Roots Equine respects your privacy. This policy explains what information the Western Roots Horse Tracker mobile and web application (“Horse Tracker,” “the app,” “we,” “us,” or “our”) collects, why it is used, how it is protected, and the choices available to you.

1. Who We Are

Western Roots Horse Tracker is provided by Western Roots Equine, operated by Shaun Callan in Canada. Privacy questions and requests may be sent to westernrootsequine@gmail.com.

2. Information We Collect

We collect information you choose to provide when using Western Roots Horse Tracker, including:

Account information: email address and authentication information needed to create and secure your account.
Horse and care information: horse names, profile details, care profiles, health records, deworming records, supplements, feeding amounts, tasks, reminders, appointments, and notes.
User content: horse photographs, documents, receipts, and other files you upload.
Notification information: notification preferences and device-related information necessary to provide reminders, when you grant permission.
Technical information: basic device, operating-system, diagnostic, security, and usage information that may be processed automatically when you use the app.
Support communications: information included when you contact us for assistance, privacy questions, or account requests.

Please do not enter another person’s sensitive personal information unless you have authorization to do so.

3. How We Use Information

We use information to:

Create, authenticate, maintain, and secure customer accounts;
Store, synchronize, and display horse profiles and care records across supported devices;
Provide tasks, appointments, reminders, photo uploads, document storage, and account features;
Respond to support, privacy, export, correction, and deletion requests;
Diagnose technical problems, prevent misuse, and improve reliability; and
Meet applicable legal, security, and regulatory obligations.

4. Service Providers and Disclosure

Western Roots Horse Tracker uses service providers to operate the app. Supabase provides cloud authentication, database, file-storage, and related backend services. Expo and applicable Apple services may support app delivery, updates, builds, and notifications. These providers may process information on our behalf according to their terms and privacy practices.

We do not sell your personal information. We do not share it for third-party behavioural advertising. We may disclose information when required by law, to protect users and the app, to investigate fraud or security incidents, or as part of a business transfer subject to appropriate safeguards.

5. Storage, Security, and International Processing

We use reasonable administrative and technical measures designed to protect information, including authenticated access and access-control policies. No internet transmission or electronic storage system is completely secure, so absolute security cannot be guaranteed.

Our service providers may process or store information outside your province or country, including in jurisdictions where privacy laws differ from those in Canada. Information may be accessible to courts, law-enforcement agencies, or regulatory authorities in those jurisdictions where legally required.

6. Retention

We retain account information and user content while your account is active and as reasonably necessary to provide the app. After deletion, limited information may remain temporarily in backups, security records, or records retained to meet legal obligations. We delete or anonymize information when it is no longer reasonably required, subject to those exceptions.

7. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, export, or delete personal information, or withdraw consent where processing relies on consent. You can update or remove many records directly within Western Roots Horse Tracker.

You may delete your account using the in-app account-deletion control. You may also request assistance by emailing westernrootsequine@gmail.com from the address associated with your account. We may need to verify your identity before completing a request.

8. Photos, Documents, and Horse Health Records

Content uploaded to Western Roots Horse Tracker remains associated with the customer account that submitted it. Western Roots Horse Tracker is a record-management tool and is not a veterinary service. Information presented by the app is not a diagnosis and does not replace advice from a qualified veterinarian or other equine professional.

9. Notifications and Device Permissions

If you allow notifications, Western Roots Horse Tracker may send care, task, appointment, or other reminders. You can change notification permission in your device settings. Photo-library or camera access is requested only when needed for features you choose to use and can be changed in device settings.

10. Children’s Privacy

Western Roots Horse Tracker is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can investigate and delete it where appropriate.

11. Changes to This Policy

We may update this policy as the app or legal requirements change. We will post the revised policy on this page and change the effective date. Material changes may also be communicated through the app or another appropriate method.
